A meeting room should be a promise kept: people walk in, ideas go out, and the far side hears as if seated with you. Standardize rooms by size with components you can replicate.

1) Small Rooms (1–4 people, huddle)

  • Display: 43–55″ 4K at 1.2–1.5× screen diagonal viewing distance.

  • Camera: 4K all-in-one bar below the display; align lens at seated eye level.

  • Audio: integrated mic/speaker in the bar is sufficient; add acoustic panel behind viewers if glass room.

  • Control: single-touch tablet; label join instructions on bezel.

  • Whiteboard: physical board + board-view camera or a glass panel beside the display.

2) Medium Rooms (4–10 people)

  • Display: 65–75″ 4K; wall-mounted with cable channels.

  • Camera: PTZ or wide FOV bar centered under display.

  • Audio: table mic puck(s) or beamforming bar; ensure AEC (echo cancellation) is enabled.

  • Table: trapezoid or boat shape favors sightlines; pass-through grommets with USB-C/HDMI.

  • Acoustics: ceiling baffles or wall panels on the back and one side wall to tame flutter.

3) Hybrid/Board Rooms (10–16+)

  • Dual displays for gallery + content.

  • Ceiling mic arrays or multiple table pucks; front-row speakers near the display for natural localization.

  • Dedicated mini-PC behind the screen + room controller; cables dressed in wall channels.

  • Lighting: wash the presenter wall (3000–3500K) to avoid backlit faces.

4) Booking & Etiquette Infrastructure

  • Door tablet synced to calendars; 5-minute auto-release if no one checks in.

  • Room reset card on table: wipe, coil cables, return chairs, sign out.

  • Spare kit in credenza: HDMI/USB-C cables, adapters, dry-erase markers, microfiber cloth, gaffer tape, batteries.

5) One-Hour Commissioning Checklist

  • Firmware updates, test call, echo/noise check, screen share from USB-C and wireless, camera framing presets, board-capture test, and a printed quick-start taped under the controller.
